Privacy Policy

This policy explains what personal information Defender Syndicate collects when you shop with us, book workshop or breakdown services, or browse our website — and how we use, share, and protect it. We keep it simple: we collect what we need to serve you, we don't sell your data, and you stay in control.

1. Who we are

Defender Syndicate Ltd (registered in England and Wales, company number 17301655), Unit 1F Ironworks, Warton Road, Carnforth, Lancashire LA5 9EX, is the data controller for the personal information described in this policy. 2. What we collect

When you order parts or book work we collect your name, contact details, billing and delivery address, payment details (handled by our payment provider — we never see or store full card numbers), order history, and vehicle details such as registration and VIN so we can confirm the right parts and record the work done. When you browse the site we collect the usual technical data — IP address, device and browser information, and the pages you visit — through cookies and similar technologies. If you contact us by phone, email, or WhatsApp we keep a record of the correspondence.

3. How we use it

We use your information to process and deliver orders, carry out workshop and breakdown services, take payment (including automatic charges on business accounts), respond to enquiries, keep service and MOT-relevant records for your vehicle, meet our legal obligations such as tax and warranty records, and improve our website. Where we rely on legitimate interests — such as fraud prevention or keeping vehicle history for returning customers — we balance those against your rights.

4. Marketing

We only send marketing emails if you've opted in or you're an existing customer who hasn't opted out, and every message includes an unsubscribe link. We don't do marketing phone calls, and we'll never pass your details to third parties for their marketing.

5. Who we share it with

Your data is shared only with the services that make the shop work: Shopify, which hosts our store and processes orders; our payment providers, who handle card and direct debit payments; couriers, who receive your name, address, and contact number to deliver parts; and our accountants and IT providers under confidentiality obligations. We share data with authorities only where the law requires it. We never sell personal information.

6. Cookies

Our site uses cookies that are essential for the shop to function — keeping your cart, signing you in, and preventing fraud — plus analytics cookies that help us understand how the site is used so we can improve it. You can control non-essential cookies through your browser settings; blocking essential cookies may stop the checkout working.

7. How long we keep it

Order, invoice, and workshop records are kept for six years to meet tax and warranty obligations. Vehicle service history is kept while you remain a customer, because it's genuinely useful to you and to future work on the vehicle. Enquiry correspondence that doesn't lead to an order is deleted within two years. Business account payment details are removed when the account closes.

8. Your rights

Under UK GDPR you can ask for a copy of the personal data we hold about you, have inaccurate data corrected, ask us to delete data we no longer need, object to or restrict certain processing, and take your data elsewhere in a portable format. Email support@defendersyndicate.com and we'll respond within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

9. Security and changes

Our store runs on Shopify's PCI-DSS compliant platform over encrypted connections, and access to customer data within our business is limited to the people who need it. We review this policy from time to time; the current version is always on this page, with significant changes flagged to account holders. This policy sits alongside our terms and conditions and business account terms.
